Challenges

  • The biggest challenge the company was facing was that it did not have a standard process of maintaining their expenditure. Nor did they have a standard solution to PBCS.

  • While discussing their requirements, we realized that the client did not have a clarity on their requirements and they had high expectations from the consultants and the tools to provide with the solution. This resulted in consistent changes in the project implementation, as a consequence, the project timeline extended from the originally planned 4 months to 15 months.

  • A number of features required in the automation of the process were not available on Oracle, so there were many workarounds that had to be done which required technical expertise.

Solution

  • The Oracle planning and budgeting cloud service (PBCS) solution was designed to automate the expenditure request process and the system had the ability to draw insightful formation.

  • With the newly implemented system, a user can raise request and create a wish list. This can be done by multiple users from different regions, and even in different currencies. From the wish list these requests can go to the level of becoming CAL & ACAL. Once approved, a business case with proper justification would be created, which goes for next level of approval. In the following stages, all the approved business case becomes eligible projects to be executed and reviewed over a period of time, which is called PIR (Post Implementation Review).

  • The entire process can be tracked with the activities, filtered by users, time-stamp, amount changes, etc.

  • Interactive dashboards and reports were designed to draw insightful information. These were created keeping in mind the company's requirements.
